For Malaysian sole tax practitioners & small firms

Tax work is demanding enough. Chasing shouldn’t be.

Missing documents. Files waiting for review. Clients who haven’t approved. And the deadline is getting closer.

We build your tax firm’s website and a workspace that shows what’s missing, who owns each file and what needs to happen next.

Website and workflow tools for your firm, alongside your existing tax software.

Where the day gets lost

Every missing piece
becomes another follow-up.

When the same person handles clients, preparation and the business, unfinished admin follows you into the next working day.

01 / Client documents

“I’ve asked for this already.”

Clients send information in batches across email and WhatsApp. You still have to work out what is missing for each year and entity.

A checklist for each tax job.

Track requested, received and outstanding documents, with a named person responsible for the follow-up.

02 / Deadlines & reviews

“Is this file actually ready?”

A file looks busy but is still waiting for preparation, a partner’s review or the client’s approval.

Separate the stages and dates.

See preparation, review and approval queues, with internal target dates and filing dates confirmed by your team.

03 / Running the firm

“The work is done. The fee isn’t.”

Enquiries go quiet, scope gets lost in conversations and fee follow-ups slip behind the next urgent file.

Connect intake to completion.

Keep enquiries, engagement scope, completion evidence and payment status attached to the client record.

The deliverables

Built for your firm.
Useful at every handover.

These are the website and workspace modules we can build to an agreed scope, using your checklists, roles and review process.

01 / Website

Your actual tax firm website.

A responsive website with your brand, services, practitioner profile and a clear enquiry route.

  • Company and individual tax service pages
  • Contact and enquiry capture
  • Mobile-friendly pages and search metadata
  • Enquiries connected to your intake process
02 / Client intake

Start with a complete brief.

Keep the client, entity, service scope and relevant tax period together from the outset.

  • Enquiry and engagement stages
  • Client and entity directory
  • Service and year-of-assessment records
  • Onboarding and engagement checklists
03 / Document collection

Know what is still missing.

Give each job its own request list so clients and staff can see what remains outstanding.

  • Separate company and individual checklists
  • Document request and receipt status
  • Client portal for agreed document steps
  • Assigned follow-ups and reminder rules
04 / Work & deadlines

See the next action.

Track preparation and review work without relying on one person’s memory.

  • Job stages, owners and reviewers
  • Internal target and filing-date fields
  • Overdue tasks and review queues
  • Owner’s view of workload and blocked jobs
05 / Approval & filing record

Close with a traceable record.

Keep the review outcome, client decision and filing evidence with the correct job.

  • Review notes and changes requested
  • Client approval and follow-up status
  • Filing status recorded by your team
  • Acknowledgement and completion evidence
06 / Fees & follow-through

Follow up beyond filing.

Keep agreed fees and outstanding payments visible after the technical work is finished.

  • Quoted and agreed fee records
  • Invoice references and payment status
  • Outstanding-fee follow-up tasks
  • Next-cycle client follow-up planning

Portal access, file storage, reminder channels, integrations, hosting and support are agreed before the build. Your firm supplies and approves its professional content and working rules.

One client journey, clear steps

From “Can you help?”
to a recorded filing outcome.

Each stage carries the client and job details forward. A new tax period gets its own job, checklist and dates.

  1. 01

    Capture the enquiry.

Record the person, entity and service needed, then assign the next conversation.

  2. 02

    Confirm the engagement.

Keep the agreed scope, fee, tax period and job owner together.

  3. 03

    Collect and check documents.

Use the appropriate checklist, flag missing items and assign follow-ups.

  4. 04

    Prepare and review.

Your team works in its tax software; the workspace records progress, review notes and unresolved items.

  5. 05

    Obtain client approval.

Record approval or changes requested before your team proceeds with filing.

  6. 06

    Record filing and track fees.

Your team files through its usual channel, records the acknowledgement and follows up any outstanding payment.

A practical first build

Start at the size
of your practice.

Recommended starting scopes, with pricing based on your website, users, modules and agreed support.

Sole practitioner

Less to hold in your head.

Start with a firm website, enquiry capture, client records, document checklists and one view of jobs, dates and fees.

Your first priority: see what needs attention without opening every conversation.

Small tax firm

Clear handovers across the team.

Add named owners and reviewers, workload views, approval stages and client portal access to the same foundation.

Your first priority: see where files are blocked and who needs to move them forward.

We map a sample engagement, agree the deliverables, then test the build with your team before bringing clients on board.

Before we talk

Practical questions.
Clear boundaries.

Is this for tax firms or people who need their tax filed?

This service is for tax practitioners and firms that need a website and better ways to organise client work. Practice Solution does not prepare or file tax returns for the public.

Do you build our website or just supply a template?

We build an actual website for your tax firm using your branding, services and enquiry journey. We agree the pages, content responsibilities and hosting arrangements in the scope.

Will this replace our existing tax software?

No. Your team continues to use its professional software for calculations and return preparation. The workspace organises intake, documents, jobs, reviews, approvals and fees. Integrations are assessed separately against the systems you use.

Are company and individual tax handled separately?

Yes. We scope different client fields, document checklists and job templates. Your team confirms the relevant requirements and dates for each engagement and tax period.

Can clients receive reminders on WhatsApp?

WhatsApp reminders can be assessed as a separately scoped integration. Sending depends on an approved business setup, client consent and the messaging provider’s rules and charges. This landing page does not activate automated messages.

How will access to confidential client documents work?

Before implementation, we agree who may view each client’s files, the storage provider, retention rules and backup arrangements. Client separation and staff access must be tested before real records are introduced. Please use fictional or anonymised files during scoping.

How much does the build cost?

We quote after agreeing the website, workspace modules, users, integrations, hosting and support. Tell us your team size, client mix and the work that takes the most chasing so we can recommend a starting scope.

Is there a working tax demo?

The preview on this page is illustrative. A working tax demo is not available yet. You can discuss your process and the deliverables with us now.

Let’s map your first build

Which tax file
needs chasing today?

Tell us your team size, whether you serve companies, individuals or both, and where files tend to stall. We’ll discuss the website and workflow modules that fit.

Talk about your tax practice.
